Position Overview:
The Medical Support Assistant (MSA) serves as a key administrative link between veterans and the healthcare teams at the Sheridan VA Medical Center. This position ensures the smooth scheduling and coordination of appointments, handles patient information with accuracy, and contributes directly to a respectful and efficient care experience for veterans.
You’ll be at the frontlines—supporting medical providers, helping veterans navigate care, managing health data, and ensuring that clinic operations run smoothly and professionally. This role combines administrative skills with compassion and attention to detail, ideal for individuals committed to public service in a healthcare setting.
Major Responsibilities:
- Schedule patient appointments (new, follow-ups, procedures) using VA’s electronic health record systems (VistA/CPRS).
- Update and maintain accurate patient demographic and insurance information.
- Serve as a point of contact for veterans seeking care, offering guidance, answering questions, and resolving scheduling concerns.
- Coordinate interdepartmental communication between clinics, nurses, physicians, and specialty care providers.
- Monitor provider availability, appointment calendars, and patient wait times.
- Prepare reports and summaries of appointment data for internal use.
- Ensure compliance with HIPAA and VA policies regarding privacy, confidentiality, and service delivery.
- Handle walk-in patients, triaging appointment needs and managing urgent communication with clinicians.
Eligibility & Qualifications:
Basic Requirements:
- U.S. Citizenship is mandatory.
- Selective Service Registration (for male applicants born after 12/31/1959).
- Ability to pass a background check (Public Trust clearance).
Experience or Education Required (any one):
- One full year of specialized experience at or equivalent to GS-4 level in roles such as scheduling appointments, answering patient inquiries, or working in a medical/administrative environment.
- Completion of 4 years above high school in any field.
- A combination of education and experience that meets the total qualification requirement.
Knowledge, Skills, and Abilities (KSAs):
- Strong interpersonal communication skills, especially with diverse patient populations.
- Ability to manage multiple systems (scheduling, documentation, coordination) under pressure.
- Working knowledge of medical terminology and appointment structures.
- Familiarity with health record software (VistA/CPRS preferred).
- Professionalism and a customer-service mindset.
