Key Responsibilities
In this position, you’ll be expected to:
Participant Recruitment & Management
- Lead end-to-end recruitment cycles — from identifying target participants to screening, scheduling, and ensuring seamless study execution.
- Maintain and improve participant databases for long-term engagement and data accuracy.
- Create better targeting methods and refine recruitment tools for faster turnaround times.
Operational Process Optimization
- Collaborate with researchers and product managers to streamline operational workflows.
- Analyze existing processes and recommend data-driven improvements to scale research capacity.
- Build templates, playbooks, and best practice guides that allow teams to self-serve common research operations tasks.
Compliance & Governance
- Ensure that privacy, legal, and ethical standards are consistently met during participant recruitment, data collection, and research studies.
- Document compliance procedures and train team members on governance best practices.
Tooling & Vendor Management
- Help procure, evaluate, and manage research tools, software platforms, and vendors.
- Coordinate with finance and vendor partners for renewals, payments, and contract compliance.
Knowledge Management & Communication
- Manage complex project documentation to ensure that operational knowledge is centralized and accessible.
- Share updates and communicate operational insights clearly with researchers, leadership, and stakeholders.
- Present information in a way that adapts to different audiences — from executives to junior researchers.
Budget Tracking & Reporting
- Monitor budgets for participant incentives, research tools, and vendor costs.
- Provide regular reporting to the UX Research Director and help ensure funds are allocated effectively.
What We’re Looking For
Qualifications & Skills Required:
- Experience: 3+ years of professional experience in UX Research Operations, Product Operations, Design Operations, or a similar enablement-focused role.
- Organizational Skills: Proven ability to manage multiple projects, track progress, and maintain accurate documentation.
- Communication: Clear, concise, and confident communicator — able to simplify complexity and tailor messaging for different stakeholders.
- Proactivity: Takes initiative to solve problems, optimize processes, and deliver results with minimal supervision.
- Technical Knowledge: Hands-on experience with research tools, participant management platforms, and vendor coordination.
- Compliance: Familiarity with privacy regulations, data handling policies, and ethical standards in participant research.
- Continuous Improvement: A mindset focused on learning, evolving, and scaling operations to support research at a growing organization.
